Refund & Cancellation Policy
Our approach to refunds, cancellations, and service changes.

1. Our Philosophy
We want every client to feel confident investing in their digital presence. Transparency is one of our core values at Phos Digital, and we believe you deserve to know exactly how we handle cancellations and refunds before you commit to working with us. This policy is designed to be fair to both parties and to ensure there are no surprises along the way.
2. Project-Based Work (Website Builds)
A 50% deposit is required to begin all project-based work, including website design and development engagements. Deposits are non-refundable once work has commenced unless otherwise stated below.
Refunds for project-based work follow a milestone-based structure:
- Cancelled before design phase begins: Deposit refunded minus a 10% administrative fee to cover project setup, discovery, and scheduling costs.
- Cancelled during design phase: Deposit is non-refundable. No additional charges will be applied for work that has not yet started.
- Cancelled during development: Client is responsible for the full deposit plus the cost of all completed development work to date.
- Cancelled after delivery: No refund is available. The project is considered complete upon final delivery.
For the purposes of this policy, “completed work” means any deliverable that has been presented to the client for review, including design mockups, development builds, and final assets.
3. Monthly Retainer Services (Marketing & Growth)
Cancellation of monthly retainer services requires 30 days of written notice. No refunds will be issued for the current billing cycle once work has been performed for that period.
If notice is given mid-cycle, services will continue through the end of the current paid period. You will not be charged for the following cycle.
Pro-rated refunds may be issued at Phos Digital’s sole discretion for unused portions of a billing cycle. These are evaluated on a case-by-case basis and are not guaranteed.
4. Third-Party Costs
Certain costs associated with your project or campaign are paid directly to third-party providers and fall outside the scope of Phos Digital’s refund policy:
- Ad spend paid directly to platforms (Google Ads, Meta Ads, etc.) is non-refundable by Phos Digital.
- Stock assets, premium plugins, domain registrations, and other third-party purchases made on the client’s behalf are non-refundable.
- Clients are responsible for cancelling their own third-party subscriptions upon service termination.
5. Active Ad Spend and Campaigns
Upon cancellation of services, Phos Digital will pause all active advertising campaigns managed on the client’s behalf. Any remaining ad budget held by advertising platforms belongs to the client.
Phos Digital will provide access transfer instructions for any advertising accounts, analytics platforms, or other tools managed on the client’s behalf so that you retain full control of your assets.
6. Deliverable Handover
Upon cancellation and payment of all outstanding invoices, clients will receive the following:
- All completed design files
- Website source code and hosting transfer instructions
- Access credentials for accounts created on the client’s behalf
- Analytics and reporting data
The deliverable handover process will be completed within 14 business days of receiving final payment for all outstanding invoices.
7. How to Request a Cancellation or Refund
To request a cancellation or refund, please send an email to anthony@phosdigital.co with the subject line “Cancellation Request” or “Refund Request.”
Please include the following information in your email:
- Your full name
- Your business name
- The reason for your cancellation or refund request
We will acknowledge your request within 2 business days. Refunds, when applicable, are processed within 14 business days of approval.
8. Dispute Resolution
If you disagree with a refund decision, we encourage you to contact us directly so we can discuss the matter. We will review each dispute on a case-by-case basis and work toward a fair resolution.
If we are unable to reach a mutual agreement, disputes will be handled in accordance with the dispute resolution procedures outlined in our Terms of Service.
9. Exceptions
Phos Digital reserves the right to make exceptions to this policy at its sole discretion. Any exception granted in a particular case does not establish a precedent and does not obligate Phos Digital to grant similar exceptions in future cases.
